This Privacy Policy explains how Bill Fix ("Bill Fix," "we," "us") collects, uses, shares, retains, and protects information when you use the Bill Fix mobile application and this website (together, the "Service"). By using the Service you agree to this policy.
Information we collect
- Bill and denial documents. The photo(s) or files you upload of medical bills or insurance denial letters, and the billing codes, descriptions, amounts, dates, provider details, and denial reasons extracted from them.
- Profile details you choose to save. Your name, mailing address, and phone number, used only to fill in the letters we generate for you.
- Account information. If you secure your account, the email address you use to sign in. You may also use the app anonymously.
- Purchase information. When you buy a letter, Apple (or Google) processes the payment and confirms to us that a purchase was completed, along with a product identifier. We never receive or store your card number or full payment details.
- Basic diagnostic data. Limited technical logs needed to operate the Service and fix errors.
How we use your information
- To read your bill and draft dispute or appeal letters on your behalf.
- To compare charges against public CMS (Medicare) reference pricing and estimate potential savings.
- To save your history and pre-fill your letters.
- To provide support and keep the Service secure and working.
We do not use your information to build an advertising profile, and we do not sell it to data brokers or advertisers. We do not track you across other companies' apps or websites.
Service providers we share with
We share the minimum data necessary with providers that operate the Service on our behalf:
- Anthropic — bill/denial photos and extracted text are sent to Anthropic's Claude API to read line items and draft letters. Anthropic processes this data to provide that service.
- Google Firebase — scans, letters, and profile data are stored and transmitted using Google's Firebase infrastructure in the United States.
- Apple / Google — process in-app purchases under their own privacy policies.
We may also disclose information if required by law, or to protect the rights, safety, and security of our users and the Service.
Data retention and deletion
We keep your scans, letters, and profile data until you delete them or your account. You can permanently delete your data at any time from Settings → Delete my data in the app; this removes your scans, letters, and account. Payment records are retained only in anonymized form (with your personal link removed), as required for financial and tax recordkeeping. If you can't access the app, email us from your account address and we'll process the deletion for you.
Security
Data is transmitted over encrypted connections and stored on managed cloud infrastructure with access restricted to your own account. No method of transmission or storage is 100% secure, but we take reasonable measures to protect your information.
Children's privacy
Bill Fix is intended for adults and is not directed to children. We do not knowingly collect personal information from children under 13 (or the equivalent minimum age in your jurisdiction). If you believe a child has provided us information, contact us and we will delete it.
Your rights
You can access, correct, or delete your profile information at any time in Settings, and delete all of your data as described above. Depending on where you live (for example, under the California Consumer Privacy Act or the EU/UK GDPR), you may have additional rights to access, correct, delete, or port your data, and to object to certain processing. To exercise any right, contact us at the address below. We do not sell personal information.
International users
The Service is operated from, and stores data in, the United States. If you use it from outside the U.S., you consent to processing your information in the U.S. Bill Fix is a standalone consumer tool and is not a covered entity or business associate under HIPAA.
Changes to this policy
We may update this policy as the Service changes. We'll revise the "Last updated" date above, and significant changes will be reflected in the app or on this page. Continuing to use the Service after an update means you accept the revised policy.
